It's 7:15pm on a Tuesday. Someone sees your Facebook ad or finds you through a Google search, visits your website, fills out a form. They're interested. They're motivated. Right now, in this exact moment, they want to join a gym.
Meanwhile, you're on the floor coaching the 7:00pm class, or working on billing, or programming a workout, or cleaning. You don't see the notification for an hour.
By the time anyone responds — if they respond at all — that person has already texted two other local gyms and mentally moved on.
And here's the part that stings: you're not losing those leads because you're bad at running a gym. You're losing them because it's physically impossible to respond to every inquiry instantly while coaching classes, managing staff, talking to members, or working on accounting.
The problem isn't you. The problem is that the window to convert a new member inquiry is much smaller than most gym owners realize — and the industry average response time is almost comically outside that window.
It's critical to respond immediately. Not when you get back from lunch. Not after you coach a class. Not after it's assigned to a gym employee. Not the next day. Immediately. Every time. Including 10pm on a Saturday.
